Compliance Manager

Scale plan

Supervisions, spot checks and incidents, recorded as they happen

The Compliance Manager keeps the recurring checks an inspector asks about on schedule, and keeps incident records and staff statements that can't be quietly changed afterwards.

An incident record: its progress, the staff statements requested and the duty of candour prompt. Sample data for a demo agency.

Recurring checks, on schedule

Start with ready-made checks you can edit: supervisions, carer spot checks and client spot checks every quarter, and annual appraisals and medication competency checks every year. Add your own with the compliance form builder. Each check runs in periods, so you can see who is done, who is due and who is overdue for this quarter or this year.

  • Staff are reminded about checks that need them, and managers get a weekly compliance digest.
  • Completed checks print or download as PDFs.
  • A read-only inspection link shows an inspector your compliance record without a login, and expires after 24 hours.
  • Nothing is created until you press Start, so you can set it up at your own pace.

Incidents and statements you can stand behind

  • Staff statements are versioned and append-only: an edit adds a new version and the earlier ones stay on the record.
  • Duty of candour steps are dated and owned, and an overdue step shows on your dashboard.
  • An incident that should be notified to CQC stays flagged until someone records that it has been.
  • Photos, documents and voice notes can be attached to an incident or a statement; files are checked before they are saved.
  • A carer can start a statement on a phone with no signal; it is kept and sent once they are back online.
  • Patterns by person, place and type show repeat incidents, not just the latest one.

CarerHR helps you keep and show your evidence. It doesn't replace your own judgement or your responsibility for meeting the regulations.
